Video conferencing is a live video-based meeting between two or more people communicating over an internet connection, regardless of their location. It is a blessing for those employees who need to attend a meeting after a long, tiring, and stressful day at work or those who are in a long-distance relationship and they’re still together (“Every night I crave to see you, every night I thank to technology,” Divya Jain), and yet it has its limitations and problems (Worst thing in a long-distance relationship? -Being unable to wipe each other’s tears over a video call!).

It is one of the most popular and widely used online technologies in the market, vital for businesses, healthcare, and education.

If you want to conduct an important video-conference meeting or just have a good video-conferencing session, consider these tips:

  1. Stay ready, be on time.
  2. Check that the audio and video work perfectly before starting the meeting. Minimize background noises, e.g., turn off the tv, radio, music, or air-conditioned, close the door and windows. Update your audio drivers and upgrade to a good quality microphone (e.g., Blue Yeti, Rode PodMic, Elgato Wave) and headset.
  3. Speak naturally without raising your voice. Don’t gesture too much with your hands or make brisk movements. Keep eye contact by looking at the camera. Most importantly, speak clearly and confidently, and do not interrupt anyone. Avoid distractions, such as checking your email or social media, responding to messages and texts, eating or drinking.
  4. Always wait a few seconds after you finish speaking, remember that there is a delay in communication.
  5. Pay attention to how you light your face, try to sit near an open window so the natural light makes your face look brighter, what you wear, and the background behind you. Declutter and clean the space around you, get rid of everything you no longer need or want. Dress appropriately for the occasion. Dress smart, business casual is the norm: do not overdress or underdress. If you’re screen sharing, be sure to minimize, close or log out of your email and instant message applications.

    You may also want to consider keeping your pets away and adding nice artwork, a decorated bookcase behind you or a digital background. Most video conferencing apps allow you to virtually change your background.

  6. Make sure you frame your camera correctly. Sit at eye level to the camera with your face in the middle of the frame, avoid unflattering and awkward angles.
  7. Use a computer or a laptop (do not operate it in battery mode) and a wired connection. A wired connection is more reliable and fast than a Wifi connection.
  8. It is advisable that the video-conference meeting take place at a low traffic time (this is not the moment of P2P downloads or anything like that) because video streams are bandwidth intensive.
  9. Mute yourself when you are not talking.
  10. Privacy and sextortion (webcam blackmail) are a big problem of our time, since participants or third parties may record the interaction without the other’s permission or knowledge, and share it in social media or pornographic video sharing and viewing websites.

    Avoid sextortion: Reduce your digital footprint, use nicknames on dating sites, use your social media privacy setting to keep your data as private as possible. Update your operating system and anti-virus/malware often. Do not send intimate images or media of yourself to anyone, turn off electronic devices and cover your webcam when you are not using it, do not accept friend or follow requests from people you don’t know, do not engage with strangers online when in a vulnerable or highly emotional state.

    The golden rule is to never share or post confidential, sensitive and compromised content on social networks, messaging apps, or other communication media. Keep your clothes on when in front of the PC, laptop, or smartphone.
